This Privacy Policy explains how Agile Nexus Solutions ("we", "us", "our") handles personal information collected through agilenexussolutions.com (the "Website"). It does not cover protected health information (PHI) that we handle for our clients – that information is governed by HIPAA and by the Business Associate Agreement (BAA) we sign with each client.
1. Information we collect
Information you give us
- Contact and consultation forms: name, email, phone number, practice or company name, the services you are interested in and your message.
- Onboarding / proposal requests: practice details such as specialty, number of providers, current billing software and similar business information.
- Job applications: your name, contact details, resume and cover letter.
- Affiliate and referral applications: your contact and business details and information about the practices you refer.
- Newsletter sign-ups and testimonials: your email address and, for testimonials, the name and text you choose to share.
Please do not send patient information (PHI) through the Website's forms. If we need patient information to provide services, we will arrange a secure, HIPAA-compliant way to exchange it after a BAA is signed.
Information collected automatically
- Basic technical data your browser sends, such as IP address, browser type, device type, pages visited and the date and time of your visit.
- If you accept analytics cookies, Google Analytics collects usage information (for example pages viewed and how you arrived at the Website). We do not use analytics cookies until you accept them, and you can change your choice at any time with the "Cookie settings" link at the bottom of every page.
2. How we use information
- To respond to your questions, prepare proposals and provide the services you request.
- To review job and affiliate applications.
- To send emails you asked for, such as automatic confirmations or our newsletter (you can unsubscribe at any time).
- To understand how the Website is used and improve it.
- To keep the Website secure, prevent misuse and meet legal obligations.
3. How we share information
We do not sell your personal information and we do not share it for cross-context behavioral advertising. We share it only with:
- Service providers who help us run the Website and our business – for example website hosting, database, image storage, email delivery and (if you accept) analytics. They may use the information only to provide their services to us.
- Authorities or other parties when required by law or to protect our rights, our clients or the public.
- A buyer or successor if our business is merged or sold, under the same protections described here.
4. How long we keep information
We keep personal information only as long as needed for the purposes above – for example, enquiries for as long as needed to respond and follow up, and job applications for a reasonable period in case another suitable role opens – and then delete or anonymize it, unless the law requires us to keep it longer.
5. Security
We use reasonable administrative, technical and physical safeguards, including encrypted (HTTPS) connections and access controls. No website or transmission is completely secure, so please use the Website's forms only for the information they ask for.
6. Your choices and rights
- You can ask us to access, correct or delete the personal information you have given us.
- You can unsubscribe from marketing emails with the link in any email or by contacting us.
- You can decline or withdraw consent to analytics cookies at any time ("Cookie settings" at the bottom of every page).
- Depending on the state you live in (for example California, Virginia, Colorado or Texas), you may have additional rights under state privacy laws. We will respond to verified requests as those laws require and will not discriminate against you for using your rights.
